Privacy Policy

This policy explains how VONIQ ("VONIQ", "we", "us") collects, uses, discloses and protects personal information through voniq.ca, our accessories shop, and our doorstep phone repair service. It's written with reference to Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and its 10 fair information principles.
1. Accountability
VONIQ is responsible for the personal information under its control. A designated contact for privacy questions will be confirmed here — in the meantime, direct any privacy question to Voniq.ca@gmail.com.
2. What information we collect
- For accessory orders: name, email, shipping and billing address, phone number, and order details.
- For doorstep repair requests: name, email, mobile phone number, device manufacturer and model, a description of the issue, your service address (including apartment/unit and postal code), access instructions, and your preferred appointment date and time window.
- For in-person repair requests: the same device, issue, contact and appointment information as above, without a service address (you bring your device to the VONIQ repair location instead).
- Service-zone / postal code matching: for doorstep requests, your postal code's first three characters (its "FSA") are checked against a service-area list we maintain, to indicate whether doorstep service and a fee are available in your area. This is not sent to or processed by a live third-party mapping API.
- Repair ID & booking record: when you submit a repair request, we generate a Repair ID and store your request details, keyed to that ID, in your browser's local storage on your device — see section 10A below.
- Payment information: processed by our payment provider (see below) — VONIQ does not store your full card details.
- Communications: messages you send us through our contact or repair request forms.
- Basic technical information: such as browser type and general location, collected automatically to help the site run properly.
3. Why we collect it
- To process and fulfill accessory orders, including shipping and customer support.
- To assess, quote, schedule, and carry out doorstep repair appointments — your service address and appointment preferences are used only to arrange and complete your visit.
- To respond to questions sent through our contact or repair forms.
- To maintain and improve how the website works.
- To meet legal, accounting, and tax obligations.
4. Consent
By submitting an order, a repair request, or a form on this site, you consent to VONIQ collecting and using your information for the purposes described in this policy. You can withdraw consent for optional uses (like marketing communications, if we offer them) at any time by contacting us, subject to legal or contractual restrictions.
5. Limiting collection
We aim to collect only the information reasonably necessary for the purpose at hand. For doorstep repairs, this means we ask for device and issue details, and the address/appointment information needed to schedule and complete the visit — we do not request device passcodes through public forms, and only request them directly and securely when genuinely necessary for the repair itself.
6. Use & disclosure
We use your information only for the purposes described above, and do not sell your personal information. We may disclose information to service providers who help us operate the business, as described below, or where required by law.
7. Payment providers
Once a payment provider is connected to this site, it will be named here. Payment providers process your payment information under their own privacy and security practices. Payment for accessory orders and payment for doorstep repairs are handled separately — see our Phone Repair Terms for how repair payment currently works.
8. Shipping providers
We share the shipping information necessary to deliver your order (name, address, contact details) with the shipping carrier(s) we use to fulfill accessory orders. This is separate from the service address you provide for a doorstep repair appointment.
9. Repair service & your device data
- Data on your device remains your responsibility — please back up important data before any repair appointment.
- Repair work may require accessing certain device functions; we only access what's reasonably necessary to diagnose or complete the requested repair.
- We do not intentionally access unrelated personal content (such as photos, messages, or accounts) on your device.
- Device passcodes are only requested when genuinely necessary, and only through a secure, direct method — never through a public web form.
- We cannot guarantee that data will never be lost during a repair; see our Phone Repair Terms for details.
10. Doorstep appointment information & technician access
- Your service address, apartment/unit, postal code, and access instructions are used only to schedule and carry out your doorstep appointment, and are shared only with the technician assigned to your repair.
- Technician access to your booking information (address, contact details, device and issue description) is limited to what's needed to complete your specific appointment.
- We may contact you about your appointment by phone, email, or text message where you've provided a mobile number. If we begin using SMS or WhatsApp for automated appointment updates, this section will be updated to name the provider used and how you can opt out. A manual WhatsApp chat link (for you to message us) does not, by itself, mean automated WhatsApp messaging is active.
10A. Repair ID & booking record
- When you submit a repair request, a unique Repair ID is generated and your request details are recorded in VONIQ's server-side booking system, where our staff can see and act on it — not just in your browser.
- A Repair ID alone is never enough to view your repair's details. We also issue a secure, randomly-generated tracking link and a 6-digit PIN specific to your booking; either one, together with your Repair ID, is required to view your status on our Track Your Repair page, from any device. Repeated incorrect PIN attempts on a booking are automatically locked out for a period of time to guard against guessing.
- Our Track Your Repair page only ever displays the single record matching the credentials entered, and never a list of bookings or any other customer's information.
- How long booking records are retained, and our full data security practices for our server-side systems, will be confirmed and added to this section.
10B. In-person repair location data
For in-person repairs, we do not collect a service address from you — you bring your device to the VONIQ repair location. Your visit to that location is not separately tracked by this website beyond your appointment booking details.
11. Cookies & analytics
This site may use basic cookies or similar technology needed for core functionality (such as remembering items in your cart). If analytics or marketing cookies are added later, this section will be updated to describe them and how to control them.
12. Third-party service providers
We work with third-party providers (such as payment processors, shipping carriers, and, potentially, email, SMS, or hosting services) who may process personal information on our behalf, solely to help us provide our services, and only to the extent necessary for that purpose.
13. Data security safeguards
We take reasonable steps, appropriate to the sensitivity of the information, to protect personal information from loss, theft, unauthorized access, disclosure, copying, use or modification. No online system or repair process can be guaranteed 100% secure, but we work to keep customer information protected.
14. Data retention
We retain personal information only as long as reasonably necessary to fulfill the purposes described in this policy, or as required by law (for example, tax and accounting record-keeping requirements).
15. Access requests
You may request access to the personal information we hold about you by contacting us at Voniq.ca@gmail.com. We will respond within a reasonable time, subject to any legal limitations on disclosure.
16. Correction requests
If you believe information we hold about you is inaccurate or incomplete, contact us and we will correct it or note your requested correction, as appropriate.
17. Privacy complaints
If you have a concern about how we've handled your personal information, please contact us first at Voniq.ca@gmail.com so we can try to resolve it. If you remain unsatisfied, you have the right to contact the Office of the Privacy Commissioner of Canada.
18. Privacy breach procedures
In the event of a breach of security safeguards involving personal information under our control that creates a real risk of significant harm, we will take reasonable steps to notify affected individuals and, where required under PIPEDA, report the breach to the Office of the Privacy Commissioner of Canada, and keep records of the breach as required by law.
19. Cross-border processing
Some third-party service providers we use (such as payment or hosting providers) may store or process information outside Canada. Where this occurs, that information may be accessible to the courts, law enforcement, and national security authorities of that jurisdiction, in accordance with its laws.
